Studio & Executive Assistant

Studio Pan Daijing is seeking an experienced and highly organized Studio & Executive Assistant to support the day-to-day operations of the studio, multiple ongoing projects, and the artist's professional activities.

The role involves working closely with the artist and the team, providing executive and administrative support across studio operations, project coordination, and occasional personal logistics. It is suited to someone who values clear communication, efficiency, and providing reliable support.

This is a dedicated support role rather than a creative position. We are looking for someone whose primary interest is organization, administration, planning, and problem-solving, and who enjoys helping a complex artistic practice run efficiently. We are looking for someone who is available to start immediately and is interested in working with us long-term.

Responsibilities include:
* General studio administration and office management
* Executive support to the artist, including calendar management, scheduling, travel planning, and professional logistics
* Organizing and maintaining digital and physical archives
* File management, documentation, and database organization
* Managing email correspondence and administrative follow-ups
* Preparing invoices, expense tracking, and administrative records
* Coordinating contracts and maintaining project documentation
* Monitoring project timelines, deadlines, and internal workflows
* Preparing materials for exhibitions, productions, meetings, grant applications, and research
* Liaising with museums, institutions, collaborators, suppliers, and production teams
* Supporting professional errands and personal administrative tasks when required
* Identifying opportunities to improve studio systems and administrative efficiency

Besondere Anforderungen

Requirements:
* Minimum 3 years of experience assisting artists or working within a professional artist's studio
* Exceptional organizational, communication, and administrative skills
* Enjoys supporting others and anticipating needs
* Highly reliable, discreet, and detail-oriented
* Thrives on managing multiple projects and priorities simultaneously
* Takes satisfaction in creating efficient systems and keeping complex operations running smoothly
* Fluent in German and English (required); Mandarin is a plus
* Based in Berlin and able to work regularly in person
* Willing and able to travel when required
* Valid driver's license and confident driving skills
* Not currently enrolled in school
* Strong command of Google Workspace (Docs, Sheets, Drive, Calendar) and digital file management
* Working proficiency in Adobe InDesign and Adobe Photoshop
* Experience with archiving in an artist's studio, gallery, or comparable cultural institution
