Requirement: Full-time, minimum 2 years
Hours: Tuesday – Saturday, 10am – 6pm
Salary: Commensurate with experience

Tanya Leighton seeks an experienced Gallery Assistant to oversee the digital activities of the gallery, events and lend support to the Directors, Gallery Manager and Registrar as required. A successful candidate will speak both English and German fluently, having had experience working in a fast-moving creative environment. Reporting directly to the Gallery Manager, they will fulfil a key role in a small team.

Candidate specifications:
• Minimum of 2 years experience working within the arts
• Ability to support team members and artists in the exhibition and promotion of artworks
• Proficient in managing and devising content for social media accounts
• Excellent image editing skills
• Proficiency in Adobe Creative Suite with a special focus on Photoshop and InDesign, as well as Mac operating systems and Microsoft Office
• Meticulous writing, copy-editing and presentation skills in both English and German is essential
• Excellent organisational skills with proven ability to work to tight deadlines, following instructions closely without oversight
• Confident to delegate tasks to interns and supervise their progress and timely completion
• Excellent communication and interpersonal skills, smartly presented with a polite and positive demeanour
• Fast learner able to pick up the operation of new systems in an efficient and timely manner

Tasks and Responsibilities:
• Assist with updating the gallery’s website and digital sales tools such as online Viewing Rooms
• Prepare mass mailings using ArtLogic
• Create exhibition and artwork presentation documents using InDesign
• Update artist CVs, press packs and portfolios in a timely manner using InDesign
• Maintain the gallery’s digital archive
• Maintain the gallery’s online database including the inputting and updating of our contacts
• Fulfill image and press requests; field inquiries from institutions, curators and private clients as needed
• Prepare exhibition openings and events as well as off-site events including dinners and parties
• Welcome visitors to the gallery, giving introductions or tours of the exhibitions
• Assist the Registrar with the creation of artwork installation guides, certificates of authenticity, and digital image kits
• Assist with content creation for gallery’s social media channels and update public exhibition listings
• Liaise with external providers and suppliers (internet, phone, etc.) to arrange repairs and maintenance as necessary
• Field incoming calls allocating them to the correct member of staff
• Manage the delegation of administrative tasks to part-time staff and interns and supervise any necessary research required
• Ensure office and gallery spaces are tidy and presentable at all times
• Maintain office diary and shared calendar
• Make travel and accommodation bookings for staff, and prepare schedule and information packs for visiting artists and guests
• Provide general assistance to the Director and Gallery Manager as well as lend support to other members of the team as required
• Uphold gallery standards in all communications, both internal and external
